You can create and edit Permission Presets and easily apply them to users.


Permission Presets are a detailed set of permissions that can be assigned to a user in one click. This will be especially helpful if a group of users all need the same permissions granted or denied. Instead of editing the permissions of individual users, you can create a Permission Preset with the appropriate permissions granted or denied. Then you can assign the Permission Preset to multiple users. You will have the option to assign the Permission Preset to new users when you add them to the Align Us.


View Permission Presets

Permissions required: Only system administrators have access to permission presets.


You can view and edit the details of existing permission presets. There are a few aspects of a permission preset that you can edit:

  • Name - Give the permission preset whatever name you like. This is a required field and is entered when the preset is created.

  • Permissions - Choose what aspects of Align Us this preset should grant access to or deny access to. 

  • Here are the available permissions:

    • System Administrator - Grants access to 100% of Align Us, at least one user in your organization must have this permission.

    • User List Permissions

      • User is an organization administrator and can create, edit, and delete users in this organization.

      • User can view and search for other users in sections such as the directory.

      • User can view employment info (salary, hire dates, etc) for all users who report to them or a subordinate.

    • Organization Permissions

      • Can edit organization’s profile and settings.

      • Can purchase additional user licenses.

    • Department Permissions

      • Can create, edit, delete departments. This does not include moving users between departments.

    • Locations Permissions

      • Can create, edit, delete locations/offices. This does not include moving users between locations.

    • Teams Permissions

      • Can view all teams and their members.

      • Can create a team. This includes editing and deleting that team.

      • Can edit any team, regardless of who created it.

      • Can delete any team, regardless of who created it.

    • Page Permissions

      • Can create pages on the social intranet.

      • Can delete any page on the social intranet.

      • Can edit any page on the social intranet.

    • Post Permissions

      • Can create posts on social pages.

      • Can edit any post on a social page.

      • Can delete any post on a social page.

    • File Permissions

      • Can create files.

      • Can edit any file.

      • Can delete any file.

  • Members - Enter the names of users who should have this permission preset. As you type their names should appear in a drop down menu, click on the user’s name to select them. You can remove a user at any time by clicking the X next to their name.




Grant, Deny, Default

Align Us comes with two permission presets: Standard and Super. All users are assigned the Standard permission preset unless they are explicitly assigned a different permission preset. The Standard preset does not allow users to edit any other user, any organization information, or any permission presets. Selecting Default, instead of Grant or Deny, will reflect the Standard permission preset in most cases.


Default

  • For every permission that has the Default option selected, the user will be assigned the permission based on the word in parentheses (Grant/Deny).

  • When creating a new permission preset, the word in parentheses (Grant/Deny) comes from the Standard permission preset.

  • Looking at an individual user's Custom Permissions, the word in parentheses (Grant/Deny) will change based on any permission presets assigned to the user.

Grant

  • The permission will be assigned to the user.

  • If Grant is selected for a permission in the individual user’s custom permissions, then that permission will be assigned to the user regardless of the presets assigned to the user.

Deny

  • The permission will not be assigned to the user.

  • If Deny is selected for a permission in the individual user’s custom permissions, then the permission will not be assigned to the user regardless of the presets assigned to the user.

  • If a user is assigned multiple permission presets where a permission is granted in one preset but denied in another, Deny will always override Grant.




Add Permission Preset

It’s easy to create a preset of permissions that can be applied to any user. Click the Add Permission Preset button, then follow the Add Permission Preset wizard. Essentially, name your Permission Preset. Then edit the specific permissions to grant or deny access to certain aspects of Align Us after.


Upload Permission Presets

You can upload a list of permission presets. The first line of the file must have the column header: Name. The file must have a .csv extension. After uploading your list of permission presets you will be able to edit the actual permissions in each preset.
